Recovering a version of a document

Every file in Klytic Docs keeps a history of its versions. You open it from the file’s details panel, choose a date, then restore or download the version you want. For a deleted file, use the recycle bin. Both actions are free of charge. Beyond that, Klytic support restores from the backups of the last 30 days, included or charged depending on the cause.

What you get

The first two options are immediate and free of charge. The third is included or charged depending on the cause: see below.

Restoring an earlier version

  1. In the browser, open the details panel of the file concerned.
  2. Display its version history. Each version is dated.
  3. To check the content before choosing, download the version and open it.
  4. Restore the version you want. It becomes the current version again. The version you replace is not lost: it joins the history, and you can go back to it.

You can also name an important version, for example “signed version” or “sent to customer”. A named version is excluded from the automatic cleanup described below.

How many versions are kept

Klytic Docs does not keep every version indefinitely. The older a version, the more spaced out the history becomes:

  • during the first hour, about one version per minute;
  • during the first day, one version per hour;
  • up to 30 days, one version per day;
  • beyond that, one version per week.

Saves made in very quick succession are grouped: a new version is only created if a few minutes have passed since the previous one. Versions take up space. When they exceed the allotted share of the user’s free space, the oldest are deleted first. If you have a particular requirement for retaining versions, talk to Klytic support.

Recovering a deleted file

A deleted file or folder first goes to the recycle bin. From the deleted files view, you can restore it, download it or delete it permanently. Once restored, it returns to its original location, with its version history.

  • Items in the recycle bin are kept for at least 30 days by default. After that, they may be permanently deleted if space runs short.
  • In a shared folder, an item deleted by a colleague goes to its owner’s recycle bin. If you do not see it in yours, ask the folder’s owner.
  • In a team folder, deleted items can be recovered by members who have access to the folder.

Beyond the recycle bin: Klytic backup

The history and the recycle bin live within the service. They do not cover an emptied recycle bin, an entire folder overwritten or an incident affecting the instance. For these cases, Klytic Docs is backed up every hour. Backups are encrypted, replicated across several sites, immutable and kept for 30 days.

Whether a restoration is covered depends on its cause:

  • malfunction of the Klytic service: included;
  • deliberate deletion by an employee, who erases their files when leaving for example, or an account deleted too early by an administrator during a departure: included, within the limit of 3 requests per month;
  • attack suffered despite properly protected computers (updates applied, antivirus active): included;
  • accidental deletion, handling error, or insufficiently protected computers: paid support ticket.

A file deleted or a folder overwritten by mistake counts as a handling error. So check the version history and the recycle bin first.

To request a restoration, contact Klytic support, specifying:

  • the folder or file concerned, with its path;
  • the approximate date and time when it was still correct;
  • whether the restoration should replace the existing content or be placed alongside it.

Why version history is no substitute for a backup: the guide Versioning, replication and backup of documents explains it in detail.

Co-editing and local copies

When several people edit a document in the browser, the history follows that shared file. Saves made during the session appear in it as versions.

A copy downloaded and then edited on a computer is not part of the history until it is put back into Klytic Docs. With the sync client, however, each upload from the computer creates a new version on the server. See Syncing Klytic Docs on your devices.

Depending on the folder’s encryption mode, the history and version preview may not be offered in the same way. If in doubt about an end-to-end encrypted folder, ask support before you need it.

Example

On a Tuesday at 4 p.m., an employee mistakenly pastes an old price table into the shared price list. They open the history, download the 11 a.m. version to check it, then restore it. The faulty version remains in the history. On Friday, the same price list is deleted by mistake: the manager restores it from the team folder’s recycle bin. No support intervention was needed, and nothing was charged.

Frequently asked questions

Is syncing to my computer a backup?

No: a deletion on the computer is carried over to the service. See Syncing Klytic Docs on your devices.

Can I recover a file deleted two months ago?

Only if it is still in the recycle bin. Klytic backups cover the last 30 days. For long-term retention, see Retaining and archiving documents.

What should I do if all the files in a folder have been encrypted by a virus?

Contact Klytic support without delay. If your computers were properly protected, the restoration is included: you are the victim of the attack. If they were not protected enough, for example lacking updates or antivirus, it is handled through a paid support ticket. The procedure is described in Protecting a document management system against ransomware, and restoring it.

Who edited the file?

The folder’s activity log shows it. See Controlling who sees which documents.

Need to request a restoration?

Specify the folder concerned and the approximate date. Klytic restores from the backups of the last 30 days, included or charged depending on the cause.
